When a business replaces its laptops, the old ones still hold emails, customer records, passwords and files. Deleting files or resetting Windows does not remove that data. Here is how to get rid of old laptops safely and stay on the right side of UK GDPR.
Keep a list of what you are retiring
Record the make, model and serial number of every laptop before it leaves your building. This list is the start of your audit trail.
Make sure the data is properly destroyed
A factory reset is not enough. Drives should be wiped with software that meets a recognised standard such as NIST 800-88, or physically shredded if they cannot be wiped. Ask for a certificate for each device that shows its serial number and the method used.
Use a registered waste carrier
Old IT equipment counts as waste electrical and electronic equipment, or WEEE. Under your duty of care you should only hand it to a registered waste carrier and keep a waste transfer note. In England you can check a company on the Environment Agency public register.
Give working laptops a second life
Many business laptops still have years of use left. Refurbishing and reselling them keeps them out of landfill and reduces the need for new devices. Anything that cannot be reused should be recycled under WEEE rules.
Keep your paperwork
File the device list, wiping certificates and waste transfer note together. If you are ever asked how you handled personal data on retired equipment, you will have the answer.
